Fathom allows you to import divisions to further analyse and report on the performance of different areas of your business.

Divisions refer to any departments, job centres, cost centres, locations etc. that you have defined within your source accounting system. The terminology of these divisions differ for each system as follows:

  • Xero - tracking categories
  • QuickBooks - classes or locations
  • MYOB - jobs or categories

Note: It’s not possible to import divisions from Excel into Fathom.

Importing divisions

When importing financial data from your source accounting system, you will have the option to select up to 60 divisions when importing from Xero or QuickBooks Online, and up to 20 divisions when importing from MYOB AccountRight Live.

Note: Fathom can import a maximum of 60 divisions for a company from Xero or QuickBooks Online, and 20 divisions from MYOB. If you wish to import more divisions than these limits, please see the FAQ at the bottom of the article.

Add or remove divisions for an existing company

You can easily manage the divisions that have been imported for an existing company. You can remove divisions, or add new divisions from your source accounting system to be available in Fathom.

To do so, proceed to ‘Step 1 - Update data’ within the company Settings.

Under the heading for ‘Financials > Tracking’, click ‘edit’ to manage your divisions. You can easily select or deselect any divisions to be used within Fathom.

There are multiple ways that you can track the performance of divisions within Fathom.

Creating custom divisional KPIs

You can easily create custom KPIs to track the performance of your divisions.

Any custom KPIs that have been created will be available for use throughout Fathom in the Analysis and Reporting features.

Within the Analysis tools

The Breakdown Analysis tool makes it easy to compare the performance of your divisions for any metric within Fathom.

Additionally, within the Financials Tool, you can click on any line from your Chart of Accounts. This will provide a breakdown of your divisions for that metric.

Within Fathom reports

You are able to filter results by division within Fathom’s customisable reports.

When creating a chart or graph, you will have options to filter metrics by division.

When creating financial statements with comparative columns, you can filter the entire statement by division.

Alternatively, select a division summary to show a financial statement with divisions split out into side by side columns. This division summary is also available for download in Excel.

FAQ

What if I have more than 60 divisions (Xero/QuickBooks Online) or 20 divisions (MYOB)?

At present, Fathom can only keep track of 60 divisions (Xero/QuickBooks Online) or 20 divisions (MYOB) at any given time for a company.

If you have more divisions than the above limit, you're still able to successfully import your company data into Fathom. When viewing your company results as a whole, the company results shown will be accurate. 

However, you will only be able to filter down to show specific results for the 60 (Xero/QuickBooks Online) or 20 (MYOB) divisions that you've selected for the company. 

Why do I have 'Unclassified' data in my company?

Any company data that has not been allocated to a division will be shown as 'Unclassified'. 

This can occur if you have imported a company that has more divisions than the above limits. Since Fathom only allows you to bring in 60 (Xero/QuickBooks Online) or 20 (MYOB) divisions at maximum, the rest of the data for the company will be considered 'unclassified'.
