Report on aged debtors and creditors in Fathom

Aged Receivables & Payables reporting in Fathom

For Xero and QuickBooks Online companies, you can add aged AR and AP data directly to a report in Fathom.

❗Notice: You must import the AR and AP data into Fathom before adding it to reports.


Aged AR and AP table

To add an aged receivables or aged payables table to a Fathom report,

  1. In a Fathom report, select Tables & Financials from the left sidebar
    ​

  2. Click on the second bolded smart text filter option at the top of the menu that opens
    ​
    ​

  3. Select Receivables & Payables from the dropdown menu
    ​
    ​

  4. Click on or grab and drag a table to add it to the report
    ​
    ​

  5. Hover over the table and select the green Pencil icon in the top right corner of the table
    ​
    πŸ’‘ Pro Tip: You can also double-click on a table or chart to edit it.

  6. The table's Properties menu will open, where you can edit:

    1. Table title

    2. Receivables or Payables table

    3. Aged by option (e.g. due date or invoice date)

    4. Columns

      1. Number of periods (type in a number from 1 to 6)

      2. Days in a period (1-366)

    5. Rows

      1. Customers/Vendors displayed (e.g. All, Top 10-100)

      2. Showing Other or Total rows

    6. Order of the invoices (e.g. alphabetical, by total amount due/owed, etc.)

    7. Hide current or older columns

    8. Currency formatting options

      πŸ’‘Pro Tip: Hiding the 'Current' column enables you to order debts by the largest amount without including the current amounts.

  7. Remember to Save changes you've made to the table

Aged AR and AP chart

An Aged Receivables or Payables chart allows you to visually show which period most receivables or payables fall into for the business.

To add an Aged Receivables or Payables chart to a report,

  1. In a Fathom report, select Charts from the left sidebar
    ​
    ​

  2. Click on the bolded smart text filter option at the top of the menu that opens
    ​
    ​

  3. Select Accounts Receivable or Accounts Payable from the dropdown menu
    ​
    ​

  4. Click on or grab and drag a chart to add it to the report
    ​
    ​

  5. Hover over the chart and select the green Pencil icon in the top right corner of the chart
    ​
    πŸ’‘ Pro Tip: You can also double-click on a table or chart to edit it.

  6. The chart's Properties menu will open, where you can edit:

    1. Chart title

    2. Add or remove the chart description

    3. Receivables or Payables chart

    4. Aged by option (e.g. due date or invoice date)

    5. Customers/Vendors displayed (e.g. All, Top 10-100)

    6. Aged Periods

      1. Number of periods (type in a number from 1 to 6)

      2. Days in a period (1-366)

    7. Chart colours

      1. Click on the colour boxes to select two colours (you can use hex codes for branded colours). The slider determines how much of each colour is displayed in the chart.

  7. Remember to Save changes you've made to the chart

πŸ’‘ Pro Tip: You can quickly generate an AR & AP report with both tables and charts from the Receivables & Payables report template.


Download Aged AR and AP data to Excel

You can download an Aged Receivables or Payables table in a Fathom report to Excel. Charts cannot be downloaded to Excel.

To download the table to Excel:

  1. Hover over an Aged Receivables or Payables table in a Fathom report and select the green Pencil icon
    ​
    ​

  2. In the table's Properties menu, check the Allow report viewers to export to Excel option at the bottom
    ​
    ​

  3. Save changes
    ​
    ​

  4. Click on the Cloud icon at the bottom right corner of the table
