What kind of media can you add to your reports?
Outside of the tables & financial statements, charts, text & commentary, and layouts available in Fathom, you can upload external images (.png, .jpeg, and .svg) and PDF files to custom Pro reports.
This enables you to bring in additional data, charts, and graphs that you cannot import into Fathom as financial data (including budget, divisional, and AR/AP data) or non-financial data.
Anyone with permissions to edit reports in Fathom can upload external media to reports.
💡 Smart Tip: Want to add a logo to your report? That’s a slightly different process. Learn the details from our ‘Add a logo to your report’ article.

Are there any limitations to the images or files I can upload?
Images must be .png, .jpeg, or .svg files to be uploaded. PDFs are the only file type that can be embedded or attached to a Fathom report.
Both images and files are scanned for security. If we detect any potential security issue with your file we will not process the upload. This is part of our commitment to keeping your account and data safe.
Each image or PDF file can be no more than 10 MB in file size.
An image will be compressed in both file size and pixels when:
The image's file size is greater than 3 MB
The image height is greater than 3,508 pixels
The image width is greater than 2,480
There is no limit to the number of images or PDF files you can upload to a report. Instead, all the images and files in your report must total no more than 50 MB.
📝Note: For users on an Apple system, the image or file size within your own computer's Files may not match the size within the Fathom report. This is due to the way the file is converted.
You can see the total file size of the images and files in your report at the bottom of the ‘Files & Media’ menu.
Should I embed or attach a PDF file?
The main differences between embedded and attached files are how they are displayed in both the online and PDF versions of a report.
Both embedded and attached PDF files can be viewed (in another tab in your browser) or downloaded from the report.
If you plan to print out your Fathom report to share it, you should embed the PDF file to view it in the printed report.
Embedded files will display the 'View PDF' option in the online report, with the option to download the file from the overflow menu. When you click 'View PDF', the PDF file will open in a new tab in your browser.
Attached files will display a Cloud icon for downloading the file from the online report, with the option to view the file in the overflow menu.
💡 Smart Tip: If you're unsure whether to attach or embed a PDF file, you can easily change the format after it has been uploaded.
Embedded files
If a file is embedded in your report, you will see it represented as an abbreviated section of the report when viewing the report online.
If you download the entire report to PDF, the embedded PDF will be included as PDF pages in your downloaded Fathom report.
Attached files
Files attached to a report will automatically be attached at the end of the section you’re viewing when you insert the file into the report.
If you download the entire report as a PDF, the attached PDF will not be viewable in the downloaded report. Instead, a link will be provided to access the attached PDF file in the online Fathom report.
People viewing the downloaded PDF must have permissions to view the report in Fathom to access the file attachment. Once they are in the Fathom report, they can select the option to view the attached file from the overflow menu.
Edit images & files in reports
There are multiple editing options for images and a few editing options for files.
Edit images
In a report, you can edit images in the following ways:
Move the image to a different area of the report
You can grab and drag an image to a different location in the report.
💡 Smart Tip: Want to add a logo to your report header? That’s a slightly different process. Learn the details from our ‘Add a logo to your report’ article.
Resize the image
You can change the size of an image by hovering over it and grabbing and dragging the green tabs at the sides.
The image will always maintain its aspect ratio when resized in a report. This ensures the image does not become distorted.
Add a title or label to an image
You can also add a title to images:
|
Change the image's alignment
You can change an image’s alignment within its space or box in a report. If a title has been added to the image, the title’s alignment will match that of the image.
To change the image's alignment:
|
📝 Note: If an image takes up all the vertical space in its area of the report, you may see very little or no changes when changing the vertical alignment. Similarly, if an image occupies all the horizontal space in its area of the report, you may see very little or no change when changing the horizontal alignment.
Edit files
PDF files can be edited in a Fathom report in the following ways:
Switch to embedded or attached
You can change a PDF file’s format after it has been added to a report.
|
Move the file to a different area of the report
The options for moving a file within a report depend on the file's format.
Attached files
Files attached to a report will automatically be attached at the bottom of the section you’re viewing when you insert the file into the report.
To move an attached file, you must first remove it and then re-add it to the report.
|
When inserted, you will see the attachment at the bottom of your current report section.
Embedded files
For embedded files, you can easily change the file’s location in the report.
|
Change the width of an attached file
If you have attached a file to a report, you can adjust the width the attachment occupies on a report page. This allows you to ensure that the file attachment does not end up on a new page in your downloaded Fathom report.
To change the width of the attachment, simply hover over it and grab and drag the green tab on the side.
📝 Note: An attached file will always be at the last component in a report section. It cannot be moved to the middle or beginning of a report section.
