Connect and update your QuickBooks Online data in Fathom

Add a QuickBooks Online company to Fathom

Fathom has a direct integration with QuickBooks Online and works in most regions. At this stage, we cannot integrate with company files from France.

When you import a QuickBooks Online company into Fathom, your company’s Chart of Accounts will automatically be brought into Fathom. You can import a maximum of 3000 accounts. Fathom will detect if the company is using cash-basis or accrual accounting.

Companies on a Portfolio plan can import up to 36 months of financial data, while companies on a Fathom Pro plan can import up to 96 months (8 years) of financial data. Learn more about Fathom’s data limits from our ‘Fathom Limits’ article.

💡Smart Tip: Archived accounts are also imported, but only where they have data assigned to them historically. Archived accounts with no data will not be imported.

📝 Note: While you can import financial data into Fathom from QuickBooks Ledger, you cannot import budget, class, or location data. You can import budget data into Fathom from Excel for QuickBooks Ledger companies.

Who can import data from QuickBooks Online into Fathom?

Users with Master Admin or Company Admin roles in QuickBooks can import data into Fathom.

In Fathom, Admin-level users and users with the ‘Add a company’ Advanced User Permission can import companies into Fathom.


Import financials from QuickBooks Online

To add a company from QuickBooks Online into Fathom:

  1. On the My Companies page, click Add or, if you’re importing your first company, click + Add a company.

  2. Select Company.

  3. Choose QuickBooks and click Continue.

  4. Select QuickBooks Online.

  5. Connect to QuickBooks. You’ll be asked to enter your QuickBooks credentials to authorise the connection.

  6. Choose to import onto a Fathom Pro or Portfolio plan and click Next.

    💡 Smart Tip: If you’re a triallist, we recommend choosing Fathom Pro so you can try out all of Fathom’s features during your trial. You can learn more about the plan options from our ‘Fathom Pro v Portfolio’ article.

  7. Select a company to import and click Next.

  8. Choose Connect.

  9. Choose Done. If you wish to import additional QuickBooks Online companies, select + Add another company and repeat steps 8 and 9.

Fathom will begin to import your financial data. Once completed, you can see your QuickBooks company or companies listed on the 'My Companies' screen in Fathom.

Update your financial data from QuickBooks Online

You can manually update companies sourced from QuickBooks Online at any time from the My Companies page.

To update a company:

  1. Click the Three dots icon on the right side of the company's row.

  2. From the dropdown menu, select Update.

💡 Smart Tip: Updating multiple QuickBooks Online companies? You can trigger a bulk update directly from the My Companies page.

Enable automatic daily updates

From the My Companies page, you can activate automatic daily updates for QuickBooks Online companies.

To enable automatic updates of a company's financials:

  1. Select the Three dots icon in the Options column, to the right of the company's name

  2. From the drop-down menu, click the option to Enable automatic updates

Automatic updates will update your financials from QuickBooks Online once every 24 hours. You can still trigger a manual update at any time while automatic updates are on.

💡 Smart Tip: By default, your financials will update through the most recently completed calendar month. For companies on a Fathom Pro plan, you can choose to update results with month-to-date (MTD) financials. For a how-to guide, visit our Automatic Updates article.
