Adding classes & locations to a QBO company

After completing the initial import of QuickBooks Online company data into Fathom, you will be able to bring in any class or location data for divisional analysis and reporting. This will help you to further filter your results to gain more detailed insights of your classes, locations and departments.

You can import up to 60 classes and locations into Fathom for a single company when importing from QuickBooks Online.


Importing Classes & Locations from QuickBooks Online

To import class and location into Fathom from QuickBooks Online:

  1. Go to 'Step 1 - Update data' in the company’s Settings

  2. Select the 'edit' button next to the 'Tracking' heading.

  3. Then, select which classes and location you wish to import for analysis and reporting. You can choose a maximum of 60 classes or locations per company.

  4. After selecting the classes and locations for import, click on ‘Confirm selection’, then 'Import' to start the import process.

    Note: Fathom doesn't recognise the hierarchy between parent classes and child classes. It's recommended to only import child classes into Fathom. This will allow you to drill down into the most detail, while preventing double counting of results. This will result in some ‘Unclassified Data’.


  5. While the import is occurring, you can keep using Fathom - simply click ‘Continue using Fathom’ to proceed. You will then be notified when the import is complete.

Note: The import of data for each class or location may take up to 1 minute, depending on the number of monthly periods to be imported.

What is ‘Unclassified’ data?

'Unclassified data' in Fathom represents the difference between the data for the entire company, and data that has been assigned to your classes. You may have unclassified data in Fathom if there is data in your financials that has not been attributed to a class or location or if you have parent and child classes in QuickBooks.

Updating your class and location data

You are able to update the class and location data that is being imported to ensure that any changes made in QBO are reflected in Fathom.

To update the class and location financial data:

  1. Go to 'Step 1 - Update Data' of the company’s Settings

  2. Click 'Update from QuickBooks Online'.

💡Pro Tip: You can also select the checkbox to 'Automatically update every day'. This will automatically update Fathom from QuickBooks Online on a daily basis.

I changed the name of my classes or locations in QuickBooks Online

If you have changed the name of a class or location in QuickBooks, then you’ll need to trigger a more substantial update of the data so the changes are reflected in Fathom.

To trigger a 'super update' of QuickBooks data into Fathom:

  1. Go to 'Step 1 - Update Data' of the company’s Settings

  2. Select ‘disconnect’ next to where the ‘Source’ is listed

  3. Select to ‘Connect to QuickBooks Online’

Change the classes or locations being imported

If you need to change the classes or locations being imported:

  1. Go to 'Step 1 - Update Data' of the company’s Settings

  2. Select ‘edit’ next to the ‘Tracking’ option.

  3. From the menu that opens, select the classes and locations to be imported into Fathom.

  4. Click ‘Confirm Selection’

  5. Select ‘Update’
