Scale and automate reporting

Schedules help automate the creation of reports you would produce on a recurring basis and can notify relevant users when the report is created.

Using this feature, you can automatically create 'draft' or 'published' reports for a single company or a group of companies.

This is especially useful if you have multiple companies using a shared template. If a schedule is using a shared template, it can automatically generate a report for all of the companies and groups using the template.


Scheduling a report

Navigate to the Report Centre for any company or consolidated group.

  1. Select ‘Scheduled reports’

  2. Choose the ‘Create schedule’ option

  3. In the menu that opens, you can choose to automatically generate a draft or published report. By default, only ‘Advisor’, ‘Editor’, and ‘Admin’ level users with access to a company are able to view draft reports. All levels of users with access to a company are able to view published reports.

  4. Select a custom template to create the scheduled report.

    Note: Schedules can only be created for Custom Templates.

  5. Choose the frequency of reporting and the number of days after the end of the month, quarter, or financial year to run the schedule

  6. Choose if users will be notified via email when the report is created.

  7. Once you click 'Create Schedule', the schedule will be active by default. If you want to pause the schedule, hover over it and set the toggle to 'Inactive'.


Notify users via email

You can choose who will be notified when a scheduled report is created by sending email notifications to different user roles. These include:

  • Nobody

  • Everybody

  • 'Viewer' ('Client') and 'Editor' ('Advisor') users only

  • 'Editor' ('Advisor') users only

  • 'Editor' ('Advisor') and 'Admin' users only

  • 'Admin' users only

Once a schedule has been run and the report published, the selected users will receive an email notification that a new report has been created.

💡Pro Tip: Scheduled reports will be created, and notifications will be sent out at around 9 AM in your Fathom organisation's time zone.

❗ Note: Fathom is unable to email the report in PDF version for security purposes. The email notification will prompt users to log in to Fathom, where they will be able to view or download the report.


Creating a schedule for multiple companies

When creating a schedule, select a template that is shared with a group of companies. Then select the checkbox that applies the schedule to all companies using this template. This will then use the selected template to automatically create reports for multiple companies at the specified time.


Editing a Schedule

You can edit the properties and settings of a schedule by going to the ‘Scheduled reports’ section of the Report Centre:

  1. Hover over the schedule and select the 'Three dot' icon on the right

  2. Select 'Edit schedule' in the dropdown menu

  3. In the menu that opens, you're able to make changes to the report schedule

    ❗ Note: This will edit the schedule for all companies and groups currently using it.

  4. You can delete a schedule by hovering over it and selecting the ‘Three dot’ icon in the right of the schedule row.

  5. You can also pause a schedule or resume a paused schedule. When a schedule is active, Fathom will send a single email to each user who will be receiving reports with a list of links to reports that they have access to from that schedule.
