How to update non-financial data in Fathom and turn on or off automatic updates

Updating from Google Sheets

By default, automatic updates are turned off for non-financial KPIs sourced from Google Sheets. If automatic updates are turned on, then the non-financial results will be updated once every 24 hours.

If changes have been made to the non-financial data in Google Sheets recently, then a manual sync is needed to bring the changes over.

  1. Go to 'Step 1 - Update Data' in the company's Settings

  2. Scroll down to the ‘Non-financials’ section and select the green 'Non-financial KPI Results' option

  3. In the top right corner of the non-financials page, select the 'Plug' icon

  4. From there, you will see a list of the data sources connected to the company

  5. Select the Google Sheet that needs to be updated

  6. A menu will open on the right, just under the name of the Google Sheet and to the right, there is an icon of two arrows forming a circle.

  7. Select the 'Sync' icon to update the data in Fathom

You’re also able to manually type data entries into Fathom for KPIs sourced from Google Sheets for any periods that do not already have values. Any manual entries will only exist in Fathom and will not be sent to the connected Google Sheet.

If you have manually entered in results for KPIs sourced from Google Sheets, this data will be written over once the Google Sheet contains data for the period. Any empty cells in Google Sheets will write over data manually entered in Fathom as long as there is data entered anywhere in the period column.

How we handle empty period columns

For period columns in Google Sheets that are completely empty of non-financial data, then Fathom will import the results only if there are results on either side of the period.

Example: In Google Sheets, you have entered KPI results for April and June. There are no entries for May. Because null results are valid results, Fathom will assume all results for May are null and will import them.

For empty periods on either end of a data set, Fathom will not import null results and instead assumes that there is no data for those periods rather than null results.


Turning automatic updates on or off

Automatic updates for KPI results sourced from a Google Sheet are not on by default.

To turn on automatic updates,

  1. Go to ‘Step 4 - KPIs’ in the company’s Settings

  2. Select 'Non-financial KPI results' (above the 'Create a KPI' button)

  3. Select the ‘Plug’ icon in the top right corner of the non-financials page

  4. Select the Google Sheet

  5. In the menu that opens on the right, select ‘Automatic Syncing’ under ‘Sync Schedule’ to turn on automatic updates. To turn automatic updates off, select the ‘None’ option.

Sync schedules are set on a connection-by-connection basis. Meaning you can have some Google Sheet connections scheduled to update automatically and others set for manual syncing only.


Updating from Excel

Because Fathom does not maintain a connection with an Excel file like it does with a Google Sheet, it is not possible to have automatic updates for non-financial results imported from Excel. Manual updates must be performed.

To update non-financial results from Excel,

  1. Go to ‘Step 1 - Update Data’ in the company’s Settings

  2. Scroll down to the ‘Non-financials’ section and select ‘Add or Update Results’

  3. Select ‘Excel’

  4. If you have the original Excel file you imported with the updated results, then select 'Import an existing file' and skip to the 7th step. If you do not have the original Excel file, then select 'Download an Excel import template’. This will download an Excel file with any existing non-financial KPI data.

  5. Add the new results to the downloaded Excel file. You may have to enable editing on the file.

  6. Once you have saved the added results, return to Fathom.

  7. Select ‘Choose a file to upload’

  8. Select the Excel file with the updated results.

Your KPI results will be updated in Fathom.


Updating results manually

Fathom enables you to manually update results for non-financial KPIs created in Fathom or for KPIs with results sourced from Excel or Google Sheets.

To update non-financial results from Excel,

  1. Go to ‘Step 1 - Update Data’ in the company’s Settings

  2. Scroll down to the ‘Non-financials’ section and select ‘Add or Update Results’

  3. Select ‘Direct entry’

  4. You’ll be taken to the non-financials page where you can double-click on a cell to type in KPI results.

    💡Pro Tip: You can use the ‘Tab’ key on your keyboard to move from cell to cell quickly.

Note: Results sourced from Google Sheets can only have data entered manually for periods that have not already been synced from Google Sheets. These data will be overwritten once the period is synced from the connected Google Sheet(s).
