Import Parent and Child Classes & Locations

With the Divisional Budgets release, you will be able to import both parent and child classes & locations from QuickBooks Online into Fathom without double-counting occurring. The Parent division data will now be presented on its own in Fathom and only include child division data if the child divisions have been imported.

💡Pro Tip: You will still be able to import a maximum of 60 divisions from QuickBooks Online. If you have more divisions than the limit, then you can pick and choose which classes or locations you import. See our ‘Importing Classes from QuickBooks Online’ article for more detail.


Why is this changing?

We have changed the way we import parent and child data from QuickBooks Online into Fathom to better and more accurately represent divisional data in Fathom.

With these changes, the divisional data displayed in Fathom more accurately matches the data displayed in QuickBooks Online. The unclassified data amount in Fathom matches the unclassified data amount in QuickBooks, and the child division values are not double-counted in the parent division values.


Which companies are impacted?

The ability to have Parent and Child divisions is specific to QuickBooks. Companies sourced from QuickBooks Online that have divisions imported into Fathom may see changes in how their divisional data is presented in Fathom.

Previously, we have advised customers to only import either the parent divisions or the child divisions. If you have imported only the parent divisions or only the child divisions, then you have likely not seen changes in how your data is presented in Fathom.

If you have imported both parent and child divisions, then the parent and unclassified amounts displayed in Fathom have changed and better match the amounts shown in QuickBooks.


What is changing?

Fathom does not and will not change any divisional data in QuickBooks. We have changed how we handle divisional data imported from QuickBooks Online into Fathom and how that data is presented in Fathom’s Analysis tools and Reports.

Previously, Fathom did not separate Child data from Parent data. If both parent and child divisions were imported, then the child divisions were double-counted (once on their own and once as part of the parent division).

To report the correct company total, the double-counted or out-of-balance amount was added to the unclassified data amount in Fathom. Unclassified data is typically any data in QuickBooks not allocated to a specific class or division. Because Fathom added the out-of-balance amount to the unclassified data, the unclassified data amount shown in Fathom did not match the unclassified data amount displayed in QuickBooks.

The double-counting only occurred if both parent and child divisions were imported, so we advised users to only import the parent divisions or only import the child divisions.

With the changes to our import processes, the parent amounts are imported and displayed on their own without the inclusion of the child amounts (unless the child divisions are not imported). This means the child amounts are not double-counted and that the unclassified data amount displayed in Fathom matches the unclassified data amount shown in QuickBooks Online.

Child amounts roll up to the parent division

If you prefer to have child data roll up into the corresponding parent division, you can choose not to import the child divisions. Any unimported child division amounts will roll up into the appropriate parent division.

Define the hierarchy

You want to ensure your divisional tree hierarchy is set up properly in QuickBooks to avoid any "duplicate" divisions in Fathom. Fathom identifies parent and child divisions based on their relationship in QuickBooks, not based on name-matching.

Example: A company has created classes to designate the different regions of their business. They have a European Union (EU) class and have further subdivided the EU class by country. To further understand the performance of the company in specific cities, they want to further subdivide the country classes by city. They’ll want to ensure they designate the city classes as subclasses of the corresponding country class and the country classes as subclasses of the EU class.

With the above configuration, the ‘Germany’ parent class and the ‘Germany’ child class are considered separate classes; there will be two 'Germany' classes in Fathom.

The above configuration is correct because ‘Germany’ has been designated as a subclass of the ‘EU’ class, and the city classes have been designated as subclasses of the ‘Germany’ class. Fathom reads ‘Germany’ as one class.
