Adding a company to Fathom from QuickBooks Online

Fathom has a direct integration with QuickBooks Online and works in most regions. At this stage we are not able to integrate with company files from France. Those with Master Admin or Company Admin roles in QuickBooks will be able to import data into Fathom.

When you import a QuickBooks Online company into Fathom, your company’s Chart of Accounts will automatically be imported. You can import a maximum of 3000 accounts and up to 8 years of monthly data.

💡Pro Tip: Archived accounts are also imported, but only where they have data assigned to them historically. Archived accounts with no data will not be imported.

📝 Note: While you can import financial data into Fathom from QuickBooks Ledger, you cannot import budget, class, or location data. You can import budget data into Fathom from Excel for QuickBooks Ledger companies.


Importing your QuickBooks Online company into Fathom

To import a QuickBooks Online company into Fathom, log into your Fathom account or start a subscription and go to the ‘My Companies’ page:

  1. Select the green ‘Add’ button in the upper right corner of the ‘My Companies’ page

  2. Choose ‘Company’

  3. In the menu that opens, select ‘QuickBooks’

  4. Then select ‘Connect to QuickBooks Online’

  5. You will be prompted to log in to QuickBooks using your QuickBooks username and password. The first time Fathom connects to your QuickBooks Online organisation, you must authorise Fathom to access your data. You’ll only need to do this once for each QuickBooks Online organisation.

    💡Pro Tip: Only those with Master Admin or Company Admin roles in QuickBooks will be able to import data into Fathom.

After authorising access, Fathom will begin to import your financial data (Profit & Loss and Balance Sheet). This should not take more than a few minutes.

If you’re using classes and locations in QuickBooks, then you’ll be prompted to select which classes and locations to bring into Fathom. If you want to, you can skip this step and bring in the classes and locations and a later date. On initial import, Fathom will also automatically import a budget from QuickBooks Online. This budget can be switched out in ‘Step 1 - Update Data’ of the company’s Settings.

Once the import has completed, you will see your QuickBooks Online company on the 'My Companies' page in Fathom. You’ll now be able to access the Settings, Analysis, Reports, and Forecasting tools for the company.


Update your financial data from QuickBooks Online

You can manually update the financials of your QuickBooks Online company in Fathom at any time in the company’s Settings.

  1. Go to ‘Step 1 - Update Data’ of the company’s Settings

    💡 Pro Tip: Your financials will default to update through the most recently completed calendar month. If you want month-to-date financials imported into Fathom, then you’ll need to select this using the ‘edit’ option next to the listing under the ‘Automatically update every day’ checkbox.

  2. In the ‘Financials’ section, select the grey ‘Update from QuickBooks Online’ button.

  3. Select the date range for the financials you wish to import into Fathom.

  4. Select ‘Update’

💡 Pro Tip: By default, Fathom will automatically update your financial data from QuickBooks Online once every 24 hours. This setting can be toggled on or off in 'Step 1 - Update Data' of the Settings for a company. For more information about automatic updates, please see our ‘Automatic Updates’ article.
