Adding Text & Commentary

Overview

 


Using the Report Editor, you can add comments, observations or any other text to tell a story or call out important information. You simply add text where you want, and write it in the context of the report. 

Text
After you create a new report, you can simply start writing to add text. In an existing report, easily add text anywhere within the report by clicking the ‘+’ button. Under the ‘Text’ category in the content library, choose ‘Text’.

To edit a text block, simply click into the text box and begin making changes. Highlight your text to add formatting like bolding, italics, bullet points and numbered lists.

You can also use the preformatted “title” option to make your text more meaningful.

Resizing a text block
To resize a block of text, hover over the text block and click the three dots to bring up some additional options. Here, you can change the width. You can select a width of (33%, 50%, 66% or 100%).

Deleting a text block
To delete text, hover over the text block and click the three dots to bring up some additional options. Click the trash can icon to delete the text block or click “replace”, to insert another chart in its place.

Placeholders
Using placeholders allows you to add rich text to your reports that references your financial data. It’s important to note that these placeholders will update if you choose to reuse this report, for a different period.

Adding a placeholder
Add a placeholder within a block of text, by using the ‘@’ symbol. For example, “revenue growth for this month is X”. To reference revenue growth,  use the ‘@’ symbol and select the metric from the variable selector.

You can then choose to add the result for the current month, quarter or year, the same month in the prior year, or any comparative results. You can also reference the metrics target.

What variables can be added to placeholders?
Using the variable selector, choose any KPI, any item from the P&L or Balance Sheet, or any item from the source Chart of Accounts for this company.

Editing a placeholder
Easily edit a placeholder by clicking on it, and changing the metric using the variable selector.


Observations
Observations allow you to create conditional commentary, based on rules. Use observations to efficiently deliver tailored commentary within a report.

For example, you may wish to add a certain comment if 'Gross Profit Margin' has increased since the prior period. However, if Gross Profit Margin has decreased, you may wish to add a different comment.

Adding an observation
In the Report Builder, easily add an observation anywhere within the report by clicking the ‘+’ button. Under the ‘Text’ category in the content library, choose ‘Observation’.

Editing an observation
Hover over an observation and click the ‘Edit’ option to bring up the properties panel. From here, edit the title of the observation and change the conditional formatting. You can change the key metrics by simply clicking on them, and choosing a new metric from the variable selector.

You can use the drop-down menu to edit the conditions of the observation.

Can you resize an observation?
It’s not possible to resize an observation.

When will an observation display?
An observation will not display if you add an extra condition for it not to display when a certain condition is met.

How do you delete an observation?
Hover over the observation and move your cursor to the icon on the far right with the two arrows. An option to ‘delete row’ will appear.

Key Numbers
A “key number” allows you to highlight any number. This can include any KPI, any item from the P&L or Balance Sheet, or anything from the source chart of accounts. Key numbers are useful for tracking key metrics such as Gross Profit Margin, total revenue or total expenses. However, you can use a “key number” to track any metric.

Adding a key number
Add a key number by clicking the ‘+’ icon in the Report Builder. Key numbers are found in multiple categories in the content library. They can be recognised by the "1,2,3" icon in the content library.  key_number.png

Editing a key number
To edit a key number, hover over it and click the ‘edit’ button. Then, from the top of the properties panel, click on the primary metric to change the key number. 

You can further customise the key number by adding a comparative. This will display a trend (in dollars, or as a percentage) against the prior period, the same period in the prior year, or against target underneath the key number.

Adding a sparkline will generate a small trend underneath the key number, showing its average performance. This is useful to get a sense of whether a metric is trending positively, or negatively.

You can also choose to show a description of the key number. This can be configured in the properties panel.

Resizing a key number
On a portrait page, the default width of a key number is 33%. This means it’s possible to fit 3 key numbers side-by-side across a page. When placed on a landscape page, you can fit 4 key numbers side-by-side.
